Role Summary
Action for Children is seeking a highly organised and proactive Administrative Officer to support its Early Intervention Family Support Service (EIFSS) and Floating Support Service. This role is essential in maintaining smooth office operations across two locations (Enniskillen and Omagh) and ensuring efficient administrative and business support during a period of staff sickness.
The successful candidate will provide day‑to‑day administrative assistance, manage office supplies, support telephone enquiries, and contribute to financial processing tasks such as purchase orders. Flexibility, professionalism, and excellent communication skills are key to succeeding in this position.
This role may require working across both service locations (2 days in one location and 3 days in the other) until the end of March, with potential for extension. Candidates unable to travel may still be considered for a single‑site placement.
Key Responsibilities
- Handle incoming telephone calls, messages, and general enquiries in a professional and timely manner.
- Manage office supplies, stock levels, and coordinate ordering of materials and equipment.
- Support basic financial administration, including raising and processing Purchase Orders (POs).
- Provide general administrative support to the EIFSS and Floating Support Service teams.
- Maintain accurate records, filing systems, and documentation in line with organisational policies.
- Assist with diary management, meeting arrangements, and coordination of appointments as required.
- Support staff with routine administrative tasks to ensure effective service delivery.
- Uphold confidentiality, GDPR standards, and safeguarding protocols at all times.
Essential Requirements
- Previous experience in an administrative role within a busy office environment.
- Strong organisational skills and attention to detail.
- Ability to prioritise workload and manage competing deadlines.
- Professional telephone manner and strong communication skills.
- Basic financial administration experience (e.g., raising POs).
- Proficient in MS Office applications (Word, Excel, Outlook).
- Ability to work independently and as part of a wider support team.
- Willingness to work across two locations (or one location if agreed).
- Basic Access NI clearance (or willingness to obtain).
Desirable Skills
- Experience within children’s services, social care, or charity/voluntary sector administration.
- Familiarity with internal case management or finance systems.
- Experience supporting multi‑disciplinary teams.
